5 Painter Quote Red Flags

OCDecor 5 Painter Quote Red Flags

Every week I hear from a Port Stephens homeowner who’s had a paint job go wrong — peeling within 2 years, drips and brush marks, half-finished work, or the painter who took the deposit and disappeared. In every single case, the warning signs were there in the original quote. The homeowner just didn’t know what to look for.

This post walks through the five red flags that should make you walk away from a painter’s quote, no matter how friendly they seem on the phone or how good their price looks.

The short answer

The five quote red flags to walk away from are: verbal-only quotes with no written follow-up, quotes that don’t name specific paint products, hourly rates without a price cap, no proof of insurance or licensing, and “we can start tomorrow” urgency. Any one of these is enough reason to keep looking.

Painting is a 5-15 year decision for your home. Spending an extra week comparing quotes properly is always worth it.

Red flag 1: Verbal-only quote with no written follow-up

A real painter sends a written quote within 48 hours of inspecting your home. It includes the scope of work, products being used, number of coats, timeline, total price, and payment terms.

A verbal quote is worth nothing. There’s no record of what was promised, no way to compare against other quotes, and no document to enforce if something goes wrong. If a painter quotes verbally and never follows up in writing — or sends a single sentence with just a price — walk away.

What a good quote looks like: 1-3 pages minimum. Itemised scope. Specific products. Coat counts. Workmanship guarantee terms. Business details including ABN and insurance.

Red flag 2: No specific paint products named

A quote that says “premium acrylic paint” or “high-quality exterior paint” without naming the brand or product line is hiding something. Reputable painters specify exactly what they’re using:

  • “Dulux Weathershield Low Sheen in [colour]”
  • “Resene Zylone Sheen Zero in [colour]”
  • “Haymes Solashield in [colour]”
  • “Taubmans All Weather in [colour]”

Why this matters: the difference between a $90/10L budget paint and a $230/10L Dulux Weathershield is enormous in coastal Port Stephens conditions. Generic “premium acrylic” language usually means budget paint with marketing dressed on top. A 3-year paint job priced like a 10-year one.

If the quote doesn’t name the product, ask. If they refuse to put it in writing, walk away.

Red flag 3: Hourly rate without a price cap

Some painters quote hourly rather than fixed-price. This can be legitimate for small touch-up work, but for any full repaint it’s a serious red flag.

Why? Because there’s no incentive for the painter to work efficiently. Every hour they spend on your job is more money. Slow morning starts, long lunches, “extra prep that wasn’t expected” — all of it expands the total cost. We’ve seen Port Stephens homeowners pay 2-3 times the fair price because they accepted an hourly quote that ran out of control.

What to ask for: a fixed-price quote based on the agreed scope, with any variations requiring written approval before extra work starts.

If a painter insists on hourly only, walk away.

Red flag 4: No proof of insurance or licensing

Every legitimate painting business in NSW carries:

  • Public liability insurance (typically $10-20 million)
  • Workers compensation insurance for any employees
  • An ABN (Australian Business Number)
  • For larger work — appropriate trade qualifications and Master Painters Australia membership or equivalent

A painter who can’t show you these is uninsured. If something goes wrong on your property — a fall from a ladder, water damage from a pressure washer, a fire from a heat gun — you may be personally liable.

Ask for the insurance certificate by email before signing any quote. Real painters keep them on file and send them within minutes.

We get asked for ours regularly. We send them within the hour. If a painter takes days to produce insurance documents or comes up with excuses, walk away.

Red flag 5: “We can start tomorrow” urgency

Good painters in Port Stephens are booked 4-8 weeks ahead during peak seasons (March-May and September-November). Even in quieter months, most reputable painters have 2-3 weeks of lead time.

A painter who can start “tomorrow” or “this week” is almost always either:

  • Newly established with no existing customer base
  • Between jobs because their last client refused to pay (warning sign)
  • Cutting corners to crank through volume work
  • Operating without insurance and avoiding scrutiny

There are exceptions — small touch-up jobs sometimes fit in quickly, and good painters do have occasional cancellations. But for a full house repaint, immediate availability is a red flag, not a benefit.

What a trustworthy quote looks like

Every reputable Port Stephens painting quote should include:

  • Detailed scope of work (what’s being painted, what isn’t)
  • Specific paint products by name and product line
  • Number of coats for each surface
  • Surface preparation specifics (wash, scrape, sand, fill, prime as relevant)
  • Total fixed price with GST included
  • Payment terms (typical: 10% deposit, progress payment, final on completion)
  • Written workmanship guarantee duration and what’s covered
  • Business details (ABN, insurance details available on request)
  • Timeline from start to completion
  • Author signature or name of the quoting tradesperson

If any of these are missing, ask. If you don’t get satisfactory answers, keep looking.
